Position Overview:

We are seeking an experienced, fast, detail-oriented, and highly organized Accountant Administrative Assistant to join our team full-time/ Remote.

Key Responsibilities:

Administrative Support:

  • Answer admin-related emails and other correspondence.
  • Assist in the preparation of regularly scheduled reports.
  • Assist in setting up employee tools and ensuring smooth onboarding.
  • Provide administrative support as requested by managers.

Recruitment & HR Support:

  • Assist with the recruitment process, including sourcing candidates, screening resumes, scheduling interviews, and communicating with candidates.
  • Maintain accurate records of recruiting activities, such as candidate information and interview outcomes.
  • Assist with employee onboarding and orientation.
  • Maintain and update employee records in line with company policies and procedures.
  • Assist with employee time tracking and ensure accurate records of attendance and work hours using time-tracking software.
  • Support managers with any HR-related queries and assist in employee performance tracking.

Report Management:

  • Compile, organize, and maintain various reports and documents.
  • Assist in the preparation of financial, operational, and administrative reports.
  • Collaborate with team members to gather necessary information for reports.
  • Assist with generating recruitment, employee time tracking, and project management reports.
  • Assist with other reports as requested by the managers.
  • Assist in basic accounting tasks such as invoice processing, expense tracking, and reconciliation.
  • Prepare financial documents such as invoices, bills, and accounts payable/receivable.
  • Maintain accurate records of financial transactions.
  • Provide monthly Profit / Loss Reports and other frequent financial reports.
  • Track company financials and provide alerts and recommendations for cost improvements.
  • Assist with other bookkeeping tasks as requested by managers.

General Administrative Duties:

    • Perform data entry tasks and maintain accurate records.
    • Handle sensitive information in a confidential manner.
    • Assist in the coordination of office activities and operations to ensure efficiency and compliance with company policies.
    • Assist in resolving administrative problems and inquiries.

Qualifications:

  • Proven experience as an administrative assistant, office admin assistant, or in a similar role.
  • Experience with recruitment processes, including sourcing, screening, and interview scheduling.
  • HR knowledge and familiarity with onboarding, employee record management, and time tracking.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Experience with employee time tracking and project management tools (e.g., Microsoft Project, Trello, or similar).
  • Basic understanding of accounting principles and practices.
  • Familiarity with accounting software (e.g., QuickBooks) and experience in bookkeeping is a plus.
  • Knowledge of HR software for managing employee data and performance tracking is a plus.
  • Strong organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • High school diploma; an additional qualification in Office Administration, HR, or Accounting is a plus.

Desirable Skills:

  • Experience with employee time-tracking software such as Hubstaff, Clockify, or similar.
  • Familiarity with Microsoft Admin Center or similar admin tools for employee software management.

Basic knowledge of recruitment platforms such as LinkedIn Recruiter, Indeed, or Glassdoor.
